From time of booking:

  • helpful consultations via email, phone call
  • in person meeting, if possible

  • inspect all vendor contracts
  • help you finalize your timeline and floorplan
  • reach out to your vendors for final coordination

On your day:

  • facilitate arrival of hair and make-up stylists
  • coordinate any pre-wedding meal deliveries
  • ensure all flowers arrive on time and distribute to wedding party for pictures
  • confirm photographer and videographer arrive on time and follow the day’s timeline
  • coordinate with transportation vendor so the wedding party departs for the ceremony, if required
  • greet all vendors and instruct them on setup
  • ensure cocktail hour and reception décor is set up according to plan
  • ensure all flowers are set up according to floral order (by the florist)
  • for outdoor weddings – make certain that tenting and lighting is arranged and working
  • confirm timing and logistics with band, DJ or designated emcee and ensure they can correctly pronounce names
  • meet with catering or venue staff to confirm food timing and the overall flow of the day
  • standard decor setup including (as applicable): place chargers, menu cards and favors at individual settings, set up table numbers, welcome table, guest book, card box, cake cutting utensils, champagne flutes and arrange escort cards if required
  • ensure any other miscellaneous décor is set up according to plan – wedding signage, cocktail napkins, family photos, photo booth, etc…
  • examine all tables to confirm they are set up properly and have the correct number of chairs at each
  • review final set up prior to first guest arrival

For your Ceremony, if applicable:

  • confirm florist has delivered and set up all ceremony floral arrangements
  • ensure that personal flowers (i.e. boutonnieres, flower girl baskets and attendant corsages) have arrived at ceremony location
  • distribute all flowers to remaining wedding party and family members
  • set up programs, guest book, unity candles, and send-off items as required
  • direct ceremony musicians where to set up
  • ensure ushers or groomsmen arrive on time and are ready to escort guests
  • ensure attendants are prepared to pass out programs, etc…
  • alert ushers or groomsmen when to begin escorting guests to their seats
  • line up wedding party and family members for the processional
  • cue ceremony music when wedding party is ready to begin processional
  • transport items from the ceremony location to the reception venue and store any items not needed at the reception

For your Reception:

  • ensure proper flow of cocktail hour food and drink
  • help guests locate their escort cards and dining tables, if in use
  • encourage guests to take their seats at the appropriate time
  • line up wedding party for introductions
  • cue the DJ or designated emcee when your are ready to be introduced
  • know the catering schedule and ensure guests are served at the proper time
  • cue DJ, photographer, videographer and immediate family members when important events take place (first dance, parent dances, cake cutting, toasts, etc…)
  • cue participants as they are about to be announced for toasts
  • distribute gratuities to vendors at the end of the night
  • prevent and/or correct any issues that may arise during the day
  • remain readily available through the entire day for anything you need help with
  • coordinate reception departure transportation and send-off
  • collect gifts and/or personal décor and leave with a designated person or vehicle at the end of the day
  • oversee vendor clean up

Hmmm… So, what’s it like working with us?

Where do I even begin. I was probably every wedding planners’ nightmare client. DIY, Destination wedding ,on a budget, with a need to plan everything WAY in advance. I knew I needed help coordinating everything since I was in Michigan and our wedding would be in Charleston. It was difficult to find a wedding planner that was responsive when I was looking for information, which led me to believe that they wouldn’t be responsive throughout the planning process either, enter Stuart. From the moment I spoke to him I felt at ease. He took his time and answered all of my questions and pointed me in the right direction in the planning process… before I even hired him.

Their online tools also made it incredibly easy to stay organized and the day went off with barely a hitch!!
